Currently, The Agnes Irwin School is seeking an Executive Assistant to the Head of School and Board of Trustees to provide high level administrative support to the Head of School and the Board of Trustees. The Executive Assistant serves as a source of information for students, parents, faculty and staff, Board of Trustees, and visitors assuring the smooth operation of day-to-day activities of the office.
Understand and anticipate the Head of School and the Assistant Head of School's needs regarding preparation for and scheduling of all activities
Responsible for managing flow of Head's business communication and applying necessary judgement to determine priorities and importance
Compose correspondence independently or with general instruction
Coordinate schedules, agendas and details for Board of Trustees meetings, Board Retreat and Annual Board meetings, draft agendas and support documents for Chair and Head, take minutes, maintain trustee website, committee and other contact lists
Provide strategic and logistical support of all institutional projects, short and long-term goals, and priorities identified by the Head of School and the Assistant Head of School
Liaison to the leadership team, which includes the senior administrative leaders of the school, helping to coordinate workflow, facilitate projects, and plan meetings and retreats
Collaborate with the Business, Development, Communications and Admissions Offices to strengthen ties to the internal external community
Coordinate and implement events for the Head of School including but not limited to: Commencement, school-wide meetings, professional development days and other gatherings
Make sound choices in ambiguous situations and solves issues with reason and calm
Serve as a reliable and trusted partner with high integrity
Promote the School's mission, core values and culture, and enthusiastically takes an active role in the life of the School
Successful candidates will posses:
Bachelor's degree and 5 to 7 years of related experience or an equivalent combination of education and experience required
Superior organizational skills, project management experience; must be highly proficient in a Google environment including Word, Excel and Zoom, and database programs and have exemplary verbal and written communication skills
Ability to manage multiple priorities strategically and under tight deadlines, while maintaining a high degree of accuracy and confidentiality
The ideal candidate will be detail-oriented, proactive problem solver, flexible and unflappable in a fast-paced environment, and able to liaise effectively, professionally, and cheerfully with a wide range of individuals; must be able exercise discretion working with confidential and sensitive information
The ideal candidate must be able to work effectively in a multicultural environment and respect different values and viewpoints
Willingness and ability to work evenings and weekends as required
