As a Part-Time Seasonal Marketing Administrative Assistant, you ll have a big mission to provide support through planning, documentation, data entry, and execution for some of our most important department initiatives in 2021. You re a collaborative partner and organized thinker with an eye for detail. Your superpowers are organization, attention to detail, communication, and meeting deadlines! You ll have an incredibly strong support system to lean on, reporting to the Director of Property Marketing and working side-by-side with our amazing Program Coordinator to ensure project success.
Tackling complex marketing deliverables one step at a time is your forte. You are a quick learner, self-motivated, and are always surfacing opportunities to improve processes and find better ways of working. Dependable with an outstanding ability to balance high-priority tasks, you re eager to understand and support the needs of a busy and fast-paced marketing team. From exciting projects like website updates and new marketing technology implementations, to repetitive projects like recording 350 links on a spreadsheet and uploading hundreds of photos and videos, you're happy tackling all types of tasks and are a whiz at estimating timelines. And even more importantly, you aren't afraid to speak up when additional help or explanations are needed. You take pride in your work and like to get it right the first time , no matter how big or small!
Working with senior staff and SMEs to understand each project assigned
Documenting your plan to tackle project tasks, keeping everyone informed of your progress
Following individual project plans and managing tasks through to completion
Keeping a close eye on timelines and speaking up when help is needed
Providing hands-on support as we onboard new marketing tools and systems
Learning how each tool works, in order to inform your approach
Syncing + moving data from the old system to the new system
Maintaining accurate records of the data entry tasks that have been completed and those that have yet to be completed.
Ensuring that your work is 99% accurate, and double and triple checking to catch any errors
Lending a hand to various marketing functions, such as copywriting, editing/review of email templates, updating design elements, and research projects
2+ years of marketing-related work experience. You might not have been in a marketing-specific role prior, but you do understand the tactical side of marketing and how tasks are completed.
1+ year in an administrative role or related experience. You are comfortable with task management, spreadsheets, achieving deadlines, understanding dependencies, and organizing project plans.
Excellent judgement and quick decision-making.
Next-level accuracy in written communication (spell-checking tools do count!)
Familiarity with modern marketing systems and tools. Bonus points for experience leveraging project management tools like Asana, Flow, Monday, Basecamp, and Trello.
You are comfortable with your work being task-driven, where weeks and months are planned out in advance. You like to understand the finish line and enjoy plugging away to get there.
Happily autonomous with healthy communication skills. You love to work independently and are comfortable learning a new role remotely, but you re sure to keep everyone in your sphere informed of your progress.
Familiarity with real estate, multifamily operations (conventional + student housing), and equities and investments is a bonus, but not a deal breaker. We re great teachers.
Work Schedule: Will normally work a Monday-Friday schedule (hours may vary to meet the business needs).
